All exhibitors, sponsors, and advertisers must be approved by the planning committee before participation in the conference is finalized. A representative will be in touch to confirm your participation and provide your organization with more details.

Exhibit Space Includes


  • An 8-foot skirted table

  • One (1) chair and a waste basket, general lighting and daily cleaning in the exhibit hall for one representative

Exhibit Hours

You are welcome to begin setting up your exhibit anytime between 12:00 p.m. and 8:30 p.m. on Thursday, November 2, 2017. If you would prefer to set up in the morning, the Convention Center will be open starting at 7:00 a.m. on Friday, November 3, 2017. We recommend all exhibits be set up no later than 8:00 a.m. Exhibits should be taken down no later than 3:00 p.m. on Saturday, November 4, 2017.

Exhibitor Rates

  • Exhibit Table (One Attendant) – $385
  • Additional Attendants: Please register through the regular system as non-chaperone adult.

  • Bag Insert: October 20, 2017 (deadline to apply, mail to Convention Center)
  • Exhibitor Move-in: Thursday, November 2 between 12:00 p.m. and 8:30 p.m.; and Friday, November 3 starting at 7:00 a.m.
  • Exhibitor Move-out: Saturday, November 4 by 3:00 p.m.


General Information


Lodging

Lodging and travel is NOT included with the application fee, however, registration, participant items, food and beverage and CEHs are included for the attendant. For information regarding lodging/parking/transportation, please see Travel Info.

Confirmation

Upon approval of application and payment, a confirmation notification, including detailed information about set-up hours, where to ship materials, and other pertinent information will be sent to the email address you provide on the registration form.



Payments

  • In order to pay by credit card, the application above will accept all major credit cards.
  • In order to pay by check, please mail a check to: University of Nevada, Reno, UNR/MS0024, ATTN: Prevention Summit, Reno, Nevada, 89557. Please make all checks payable to “Board of Regents.” (Note: Please complete the online application above as well. There is a field to note that you will be sending in a payment by check.)
  • UNR’s Tax ID is: #88-6000024
  • All payments must be made prior to the event.The conference organizer reserves the right to refuse admission if full payment is not received.

Cancellation

The conference organizer must receive official cancellation from the sponsor, exhibitor, or advertising organization by October 5, 2017 to provide a full refund. If the conference organizer is notified after the cancellation date, no refund will be provided.

Policies

  • Advertisement, logo, or graphic due with application by October 5, 2017.
  • The Committee will not knowingly accept programs or publications that discriminate on the basis of ethnic group, race, religion, gender, sexual orientation, age and/or disability.
  • The Committee reserves the right to bar or relocate any potential exhibitor or require the immediate withdrawal of any exhibit which it believes to be injurious to the purposes of the Prevention Summit.
  • UNR reserves the right, as necessary, to make modifications to the exhibit space to meet the needs of the Fire Marshall, exhibitors, or exhibit program.
  • Assignment of space will be based on the date of receipt of application, as well as size and utility requirements. Assignment of space is final. Assignment space may be revoked or changed at any time if the minimum payment is not received. If the exhibitor’s application is revoked or not accepted by UNR, the exhibitor will be promptly refunded.
  • Additional furniture, draping, accessories, and/or decorations are the sole responsibility of the exhibitor and should be approved in advance by UNR. All booth equipment and accessories must follow the standards established by the Fire Marshall.
  • It is the responsibility of the exhibitor to see that all materials are delivered to the venue as well as removed by the specified deadline.
  • Insurance and liability are the full and sole responsibility of the exhibitor. The exhibitor, upon contracting to exhibit, expressly releases UNR, any of its officers, directors, employees, or committee members, or the Board of Directors, employees, or representatives of the Yakima Convention Center from any responsibility or liability for any injury, loss, or damage that may occur to the exhibitor or to the exhibitor’s employees or property prior to, during, or subsequent to the period covered by the exhibitor’s contract, including but not limited to any responsibility or liability for negligently caused injury, loss, or damage; and further, the exhibitor agrees to hold harmless and indemnify UNR, and the Yakima Convention Center against any and all claims made against UNR, and/or the Yakima Convention Center by any person and arising out of the exhibitor’s acts or omissions.
